In attendance: Andy Kratt, John Thomas, Cindy Giltner, Jose Trujillo, Leslie Miller, Leann Steele, Doug Gies, Patty Joyce, Susan Tosch, Virginia Kaufmann, Dave Kaufmann, Greg Chambers, Jeff Moede, Ryan Elliott, Karen Hazard, Gretchen Place.
Meeting called to order at 7:20 pm by Greg Chambers
First order of business: Greg Chambers asked for a motion to be made approving the minutes from the January 21st meeting. So moved by Leslie Miller, 2nd by Susan Tosch. All in favor.
Treasurer’s Report – Susan Tosch:
- Susan reported that the PSCU (Provident) and Booster Accounts will be closed and the only remaining accounts will be the school activity account and the DCEF Booster Account. This will happen over the next month or so.
- Activity fees are not reflected in the current balances, as they are not deposited by the athletic secretary until an athlete makes a team.
- Photographer’s quote – the quote from the Deadwyler's came in at the amount budgeted ($1250). Proposal attached to minutes.
- Jeff Moede questioned how many JV/3rd level games are guaranteed by the photographers – the proposal guarantees 6 home varsity, 2 away varsity, 1 JV and 1 3rd level
- Someone commented that John Knauff took tons of photos of 3rd level last year, and probably would takes pictures again of whatever team his son plays on.
- Discussion of how much more it would cost to have additional JV and 3rd level games photographed.
- Leslie Miller motioned to accept the $1250 proposal from the Deadwyler’s, Doug Gies seconded. All in favor.
- Doug Gies motioned, Leann Steele 2nd to approve up to an additional $500 to either the Deadwylers or John Knauff to photograph additional JV and 3rd level games. All in favor.
- Susan Tosch will contact the Deadwylers regarding cost for additional games.
- Discussion of videography and who put together the video for the banquet last year. We used to hire a videographer at a cost of approximately $125/game. Putting together this video is a tremendous amount of work. Greg Chambers will contact John Knauff to see if he’d be willing to put together a highlight video.
- Possibly put a blurb in the newsletter about parents videotaping games? See if anyone would be willing to take video.
Communication Report – Jeff Moede
- Jeff will start putting out newsletter weekly. He will email committee chairs on Thursday for updates.
- Cindy Giltner asked if eventually everything would go out through the communication committee, so that all information was coming from one source, not multiple sources. Jeff Moede agreed that the newsletter/webpage should be the main source of information.
- Stuart Place, John Knauff and Jeff Moede are going to meet regarding the webpage. What we are using right now is kind of limited.
- Jeff sees webpage as “home base”. Twitter is for last minute updates.
- Someone asked if the past newsletters could be posted on the webpage. This is possible, but it would cost extra.
- Cindy Giltner thinks that it needs to be clear to families what their main source of information should be. Jeff will make sure he addresses this confusion in the next newsletter.
- 185 people have signed up to receive the newsletter, 101 – 110 open the newsletter and there is an 80% click ratio (where people link to something in the newsletter).
Team Building – Patty Joyce
- Cindy Giltner reports on the banquet. The JV/Varsity banquet will be held on 5/16 at 5:00 pm at the Hilton Garden Inn in the Tech Center. They have 3 drop down screens, and it will be a served dinner, not a buffet.
- T-shirt fundraiser for banquet. Leslie Miller said that Williams Oil will sponsor the t-shirts. Gretchen Place has already done the design.
- Senior Night will be 4/23 at halftime of the Highlands Ranch/MVHS game at Shea.
- Team Dinners will be held at school from 5-7. Dinner will be at 5:30. All money for team dinners will be collected at the beginning of the season, rather than $5 each time as has been done in the past.
- Green and Gold luncheon is all arranged for 2/27 at 1:00 pm at MVHS. Only 28 families have RSVP’d so far (75 people). Deadline is 2/22.
- Will be looking for a team mom for each level after teams are selected.
Gayle Hayung’s report via Greg Chambers
- Shooting shirt is in production. Design will be a surprise to the underclassmen.
- Off-season is now over.
- Gayle will need some help from parents after school on 3/3 distributing uniforms.
3rd Level Shootout – Doug Gies
- Doug asked for approval for him to buy trophies and pay refs. This expenditure is approved.
- Will start talking about concessions after 3/1.
1st Annual (Inaugural?) Lacrosse Classic – Doug Gies
- Meeting at 8:00 am on Saturday, February 20th at Einstein’s to do last minute planning.
- 105 tickets sold so far.
- He has tried to reach the athletic director from Kent Denver and has not gotten a response.
- 50 posters printed up, will need to get those posters put up throughout Highlands Ranch
- Will sell tickets at Green and Gold luncheon.
- Discussion of whether to require all families to sell a certain number of tickets.
- Motion made by Leslie Miller, seconded by Karen Hazard to give the Classic Committee authority to make all decisions with respect to the Classic in order to get their goals accomplished. All in favor.
Jose Trujillo’s Report
- Most everything was discussed at the All Hands Meeting.
- He met with the coaches today.
- Some player movements may be made earlier than in the past, due to the shortened tryout period.
- Shawn Larkin is not coaching
- 3rd level game vs. Steamboat Springs on 4/9 – may look for families to host players.
- Scott Cohen and Kevin Taggart are JV coaches
- Jose wants basic plays and defenses at all 3 levels.
- So far it’s looking like between 81 and 85 players trying out.
- 2-a-day practices start 2/22. If you have a zero hour class, you will come at 6:00 am. Those who don’t have a zero hour class will condition from 6:45 am to 7:30.
Meeting adjourned at 8:40 pm.
Next Booster Meeting 3/18 at 7:15 pm in the Media Center.
Respectfully submitted, Leann Steele
